The Job:

We have an agency client based out of Portland, looking to build a team for a client activation out of LA. Their client is a Global Sport Performance / Lifestyle Brand. This Project Manager will need to have experience leading teams on brands in similar fields as Yoga, Health and Fitness, Meditation, and have experience with Consumer Facing brands with a female core demographic. This will be a 1 year contract with high potential to turn permanent! This Project Manager will be responsible for the timely delivery, budget adherence, upholding creative goals and client satisfaction. You are the hub of a project, working with the various internal teams and outside vendors. The PM is responsible for working with Account Directors to translate client goals and objectives into strategic, long-term plans and work toward developing and modifying internal processes. This job may involve travel. 


  • Lead project teams with a positive attitude, motivation, respect and a sense of pride. 
  • Positively influence others to achieve results that are in the best interest of the client, team members and Happylucky. 


  • Execute standards of customer service to the highest level. 
  • Obtain project brief from client; create agency brief, working with the Creative Lead. 
  • Address administrative duties, including requesting job number to be opened and budget entry. 
  • Schedule, create meeting agendas and attend client and internal briefings, meetings (calls) and presentations. 
  • Coordinate client and internal meetings, including scheduling, agendas and recaps. 
  • Manage project timelines by building workback schedules and routing to client. As approvals or due dates change or are missed by client, update timeline to keep client aware of revised dates. 
  • Generate client-facing project cost estimates, as well as internal labor breakdown. Documentation to be routed through Studio Manager and Managing Director. When briefing the project team, give a range of hours for the team’s initial rounds and subsequent revisions. 
  • Manage all contact with project vendors or work with the Internal Producer to manage the vendors. Track vendor and contractor costs. Obtain estimates from vendors, and make sure their costs are within the estimate. 
  • Keep Studio Manager and Managing Director aware of job costs if they exceed the project estimate. If project scope changes, or if hours near the estimate total, alert Studio Manager and proceed with Change Order documentation. Client to approve Change Order prior to work commencing. 
  • Run project actuals, including vendors costs and expenses, on a weekly basis and flag any issues to the Studio Manager. 
  • Plan ahead for Production Design resources and work with other PM’s to share/plan for building mechanical files and deliverables. 
  • Maintain client feedback and route appropriately to internal team. 
  • Ensure highest level of quality control is maintained, including review of deliverables and proofreading before routing back to client. 
  • Work with Operations Manager on payment details, including purchase orders, billing schedule and invoicing verification. 


  • All feedback, all assets from clients and/or internal parties, need to live in the Job Folder. Project Manager is responsible for maintaining job folders for their projects. 
  • Create and update internal documentation, including job tracking list, Hit List, Component Lists, Briefs and Assets Log. 
  • When appropriate, work with Client Partner and Studio Manager to define project-specific roles prior to kick-off. 


  • Foster a respectful, open and inspiring work environment within the agency through respectful, thoughtful, honest and clear communication. 
  • Translate project goals and strategies into actionable plans and guidance for team members. 
  • Manage the life of each project at every stage and advise if there are any problems in work flow or work style.
  • Maintain day-to-day contact with the Creative Director and/or designer(s) on deadlines and next steps. 
  • Maintain day-to-day contact with client on deadlines, needed assets for job, project costs, deliverables and expectations. 
  • Secure client approvals on all files before they release to pre-press/print/publication. 
  • Work with Studio Manager to ensure jobs are running smoothly and efficiently.
