We have an exciting opportunity for an Event Planner with a GREAT company in Madison. The events specialist plans and organizes the company’s appearance at industry conferences, along with arranging client events (receptions, educational sessions, and symposiums). The events specialist manages the entire process from the planning stage through to the post-event evaluation for a subset of the company’s annual events. This role is full-time and on-site in Madison at least 2 days per week.
What you will do:
Plan, manage and grow all aspects of assigned events including tradeshows, tradeshow-related client receptions and education sessions, and client symposiums.
Select convention booth space.
Oversee individual event budgets (forecasting, adherence, and reconciliation).
Recommend/determine booth layout.
Lead cross-departmental event planning meetings.
Work with marketing team members to establish messaging direction.
Work with cross-departmental individuals to determine company attendees.
Lead attendee preparation meetings, communicating conference attendee expectations and conference information.
Solicit post-event feedback from company attendees.
Provide timely reporting of performance metrics, attendee feedback, and benchmark against established ROI objectives.
Recommend changes and improvements to positively impact the customer experience and maximize the return on our events investments.
Manage vendor relationships and coordinate detailed events logistics, orders and payments:
Secure event locations and coordinating details with onsite staff (and any ancillary vendor providers).
Manage relationship with booth exhibit design/logistics vendors in U.S. and Europe.
Remain current on new trends in events management and exhibit design and technologies that can be used to enhance the customer experience.
What you bring to the table:
2-5+ years of experience in event planning, with tradeshow and corporate event focus
Capable of independent and strategic thinking
Ability to work in fast-paced environment with shifting priorities and directions
Strong presentation, listening and communication skills
Able to manage challenging situations and stakeholders, including vendor relationships
Strong attention to detail
Solid experience with Microsoft Office desired (Word, Excel, PowerPoint). Basic knowledge of Eloqua and SalesForce preferred, but not required.
